Duplicate Lead Detective – End-User Guide

Product Overview

This product will enable a Lead-based dashlet in Sugar that detects duplicate records from the Leads module by determining whether key data exists elsewhere within the system.

Prerequisites

Ensure the product has been successfully installed and configured. For instructions on how to do this, please follow the Installation & Set Up Guide or contact your System Administrator.

Adding the Dashlet to the Leads Record View Dashboard

Navigate to a Lead record in Sugar and ensure that the Intelligence Pane is open and not collapsed. Select the Record View Dashboard where you would like to add the Duplicate Lead Detective dashlet, should you use multiple dashboards.
If you are not familiar working with dashboards, please follow SugarCRMs’ official guide on Dashboard Management.

Click on the Floating Actions Button and select “Add Dashlet”.

Select the Dashlet “Duplicate Lead Detective”. Rename if required, then click Save.

The Duplicate Lead Detective Dashlet will show in your chosen Record View Dashboard. 

The dashlet contains duplicate information from the Accounts, Contacts and Leads module, unless your System Administrator has disabled modules and fields from the duplicate check.

Identifying a duplicate Lead

A duplicate Lead is identified by a set of stock Sugar fields:

  • Account Name
  • Contact Name
  • Email Address
  • Phone Number(s)

The ‘Contact Name‘ will cross-check the combination of Sugars’ stock First and Last Name.

The ‘Phone‘ will cross-check Sugars’ stock Phone-type fields.

The ‘Email’ will cross-check Sugars’ stock Primary Email Address fields.

Note: The module and field labels above may differ in your system if these were modified by your System Administrator. Your System Administrator may have also excluded some of these modules/fields from the duplicate check.

If a duplicate is found, a level of importance will display. These levels are configured and set by a System Administration user.

Warning: Critical duplication identified.

Caution: Less severe or coincidental duplication identified.

Dependant on your system settings, below are some possible duplicate scenarios:

The dashlet will check if the Lead has a matching Account Name, Phone or Email in any Account record in Sugar. 

The dashlet will check if the Lead has a matching Contact Name, Phone or Email in any Contact record in Sugar.

The dashlet will check if the Lead has a matching Account Name, Contact Name, Phone or Email in any Lead record in Sugar.
